NLAC Employment Opportunity - Office Receptionist

The Newfoundland and Labrador Arts Council (NLAC) is seeking applications for the position of Office Receptionist.

DEFINITION OF WORK

Reporting to the Executive Director of the Newfoundland and Labrador Arts Council (NLAC), the office receptionist will be responsible for assisting with a wide range of administrative and secretarial duties related to programs of the Council.

DUTIES AND RESPONSIBILITIES

  • Greet people and direct them to applicable staff person
  • Operate telephone system and answer, screen and forward telephone calls
  • Operate electronic mail system and answer, screen and forward electronic mail
  • Operate postage meter system, sort and distribute mail
  • Photocopy and collate documents for distribution, mailing and filing
  • Arrange travel and accommodations for staff and board
  • Maintain general office filing system
  • Maintain inventory of office supplies and order supplies
  • Maintain mailing lists and databases
  • Maintain grant recipient cheque and support material pickup log
  • Maintain photocopy usage log
  • Maintain long distance telephone usage log
  • Maintain bulletin board listing of upcoming events and deadlines
  • Provide general information to clients and the public
  • Shred confidential documentation for recycling
  • Other reception duties, secretarial support and administrative tasks

MINIMUM QUALIFICATIONS

  • An office diploma in Office Administration/Secretarial Science or the equivalent in professional experience
  • This position demands a dedicated individual who has the ability to work both independently and as part of a team
  • Excellent oral and written communications skills
  • Good interpersonal skills
  • Strong organizational skills and the ability to manage and prioritize a busy workload
  • Knowledge of the cultural sector in Newfoundland and Labrador and experience working with non-profit cultural organizations
  • Strong typing and computer skills including Microsoft Access, Excel, and Word

POSITION DETAILS

This position is located in St. John’s.

This position reports directly to the Executive Director of the Newfoundland and Labrador Arts Council.

Salary: $12 Hourly for 35 hours per week
